What to do
Follow these steps in order. Keep it simple — refine after the first real workflow works.
- 1Create staff profiles for people who deliver, manage, approve, or review work.
- 2Assign skills such as HVAC, front desk, site lead, cleaning, diagnostics, or customer handoff.
- 3Create work schedule templates with work days, start time, end time, and breaks.
- 4Assign templates to team members and non-human resources from Work Schedules.
- 5Add resource windows for maintenance, leave, unavailable dates, or one-off blocks.
- 6Invite users only after role permissions and schedules are ready.
- 7Review leave balances and coverage responsibilities before managers approve requests.
You're done when…
Use this quick check before moving to the next setup task.
- Team Orchid, Niran P., and other active resources have availability windows.
- Managers can see conflicts before assigning live work.
- Breaks and overtime rules are reflected in schedule planning.
- Leave requests show downstream coverage impact.
Why this matters
How this task connects to the rest of the product.
- Feeds
- Job assignment, schedule calendar, availability picker, auto-assignment, leave conflict warnings, timesheets, and payroll review.
- Members
- Human resources carry role, email, status, skills, and work schedules. They are eligible for services when their skills match service requirements.
- Resources
- Non-human resources carry type, status, capacity, skills, availability, schedules, and windows. They cover rooms, vehicles, equipment, kits, or tools.
- Work schedules
- Templates and assignments define the normal working window that jobs compare against.
- Resource windows
- One-off maintenance, leave, unavailable, or blocked windows remove capacity from a specific time range.
- Breaks if skipped
- The job flow cannot confidently show free/busy status, auto-assign people/equipment, detect conflicts, or create trustworthy payroll records.
Expected outcome
